Qualifications features

Keep awards trustworthy after the course ends

Define how qualifications work, what they need and when they renew — then keep those rules with the people who hold them.

An award should not live in a spreadsheet that goes stale

Afanor treats qualifications as part of the learner’s story: what they achieved, the evidence behind it, and the date you must not miss.

One catalogue the team can trust

Awarding bodies, types, levels and codes live in one place, so two people are not describing the same award differently.

Rules that actually drive the work

Set pathways, how long an award lasts, whether a certificate number is required, and who should get a reminder.

The award on the person

Achievement, who issued it, the reference, the evidence and the expiry date sit with the learner.

A learner record connected to qualification evidence, status history and an expiry reminder.

A closer look

What qualifications looks like day to day

These are the parts of the job your team can put to work straight away — focused on outcomes, not entity lists.

Awarding bodies and the catalogue

Agree what an award is before you start putting it on people.

  • Agree what an award is before you put it on people
  • See what is still in use before you retire a qualification
  • Keep codes, levels and delivery methods in one place

How qualifications renew

Write the policy once, then let plans and reminders follow it.

  • Set how long an award lasts and when renewal work should start
  • Require certificate numbers and expiry dates where your standard demands them
  • Turn prerequisites into pathways learners can actually follow

What learners have achieved

Put the award on the person, with the paperwork that backs it up.

  • See what each learner holds and whether it is valid, expiring or gone
  • Keep references, issuers and supporting files with the award
  • Open the learner — not a side folder — when proof is needed

Acting before it lapses

Bring time-sensitive awards forward while there is still time to do something.

  • Which awards should get a reminder
  • A view of what is valid, expiring or already gone, plus plan progress
  • Scheduled messages across email, text and letter if needed

How it works

Qualifications as part of the wider journey

Each step stays with the same people, so the next person to pick up the work is not starting from an empty page.

1

Define

Set up the qualification and the rules that go with it.

2

Award

Record what the learner achieved, and the evidence that supports it.

3

Keep it in date

Watch expiry, and write before it becomes a problem.

Built for the team

Useful for every role around the learner

Administrators, trainers and support staff keep their own work, without losing sight of the same person.

Qualification administrators

Keep the catalogue and the awards on people in the same shape.

Learner support teams

Find what they hold, when it runs out, and the file that proves it.

Quality and operations leads

See history and upcoming renewals without rebuilding a report by hand.

What this changes

Less time rebuilding the picture

Qualifications sits with the rest of the week’s work, so you are not rebuilding the picture in another spreadsheet.

  • Replace the expiry tracker that only one person knows how to use.
  • Keep the award with the learner, not in a side list.
  • Turn prerequisite rules into a plan a learner can follow.
  • Apply the same certificate, expiry and renewal rules every time.
  • Find the evidence when someone asks for it.

Getting started

Frequently asked questions

Can we maintain our own catalogue?

Yes. Awarding bodies, types of qualification, the qualifications themselves and how they are delivered are all things you manage.

Can we record certificate numbers and expiry dates?

Yes. A type of qualification can require a certificate number and an expiry date. The learner’s award then holds what they achieved, when it expires, the reference, who issued it and any notes.

Can qualifications have prerequisites?

Yes. A qualification can define groups of requirements. Afanor uses those as pathways inside a learner’s plan, so they can take one route or another.

Does this stay with the learner?

Yes. The award is part of the same person you already know from CRM and training, not a separate tracker.

Works alongside

What sits next to qualifications

These parts of Afanor share the same people, so you are not starting again in another tool.

Training

From the plan on the wall to the people in the room

Schedule the course, check learners in, run the quiz and follow up before a qualification lapses — without starting again in another tool.

CRM

One place to know every learner

Stop keeping people in one spreadsheet and employers in another. Afanor holds who they are, how to reach them, and what still needs doing.

Reporting

See what needs a decision this week
