A useful matrix gives the team an immediate answer when someone asks whether a learner is qualified, which evidence supports the record and when action is due. It should support everyday decisions, not become another spreadsheet that only one person understands.
- Which learner and organisation the record belongs to
- The qualification, awarding body and achieved date
- The expiry date and current renewal status
- Where the supporting evidence is held
- Who owns the next action
Keep one row per learner and qualification
Do not combine several awards into one cell. A separate row for every learner and qualification makes filtering, sorting and renewal planning much more reliable. It also leaves space for qualification-specific evidence and notes.
Use consistent names for qualifications and awarding bodies. Small variations create separate groups in reports and make it harder to see the complete position.
Make ownership visible
An expiry date without an owner is only an observation. Add the person responsible for contacting the learner, arranging a course or confirming new evidence. Record the next action in plain language so another team member can continue the work.
Know when the spreadsheet has reached its limit
A matrix is a useful starting point. It becomes fragile when several people update copies, reminders are sent manually, evidence lives in separate folders or reporting depends on one person rebuilding the data. At that point, a connected qualification record and renewal workflow removes repeated administration.
