The starting point

A training provider keeps qualification expiry dates in a shared workbook. Administrators copy learner contact details from a separate system, send reminders from individual inboxes and record course bookings in a calendar. The spreadsheet is accurate at review time but quickly falls behind the work happening around it.

Where the process becomes fragile

The team can identify upcoming expiries, but cannot see from the same row whether a learner replied, which administrator owns the follow-up or whether a suitable course has been booked. Reporting requires a fresh reconciliation of several sources.

The redesigned workflow

The provider creates one learner qualification record with its evidence and validity dates. A renewal rule opens the action at the right lead time. Reminders, replies and ownership stay connected to that action, while a course booking carries the learner into delivery and assessment.

A safer way to migrate

The team starts with current and near-term qualification records instead of importing every historical row at once. Administrators agree naming rules, resolve duplicates and verify missing dates before automated reminders begin. The old workbook remains read-only during reconciliation.

How to judge the outcome

Measure the operational result after launch: time spent rebuilding reports, renewals without an owner, failed reminders awaiting action, and qualifications completed before expiry. These measures reveal whether the new workflow is reducing risk rather than simply moving the spreadsheet online.
