Begin with the renewal rule
The reminder journey should follow the qualification rather than a generic marketing schedule. Define how long the award remains valid, whether prerequisites apply and how much time a learner normally needs to book and complete the renewal.
Plan a sequence, not a single message
One early reminder can be missed. Use a sequence that becomes more direct as the expiry date approaches. Each message should explain which qualification is affected, the relevant date and the next action the learner or employer should take.

- A near-expiry message makes urgency clear
- An overdue step routes the record for human review
Choose channels deliberately
Email is useful for detail and links. SMS and push notifications are useful for timely prompts. Letters remain relevant where the contact preference or business process requires them. Keep the message consistent across channels and avoid sending duplicates without a clear reason.
Keep replies beside the qualification
Automation should reduce routine work without hiding the conversation. Replies, failed deliveries, course bookings and exceptions need an owner. A shared history lets another team member see what was sent and continue the renewal without asking the learner to repeat themselves.
